Technology refreshes leave most organizations with a stockpile of equipment that still works but no longer fits the environment. Handled well, that equipment can offset part of the cost of the next purchase.
1. Build a simple inventory
List each item with its make, model, quantity, approximate age, and general condition. Serial numbers and configuration details (processor, memory, storage) improve the accuracy of any valuation.
2. Separate by value and condition
Group equipment into items likely to have resale value, items suited to parts or remarketing, and items that should go to responsible recycling. Newer business-class laptops, servers, and networking equipment typically retain the most value.
3. Plan for data handling
Before any device leaves your control, confirm how stored data will be handled in line with your internal policies and any contractual or regulatory obligations that apply to your organization.
4. Choose the right disposition path
Options can include resale, buyback, remarketing, trade-in against new purchases, or responsible downstream recycling. The right path depends on volume, condition, timing, and your organization's goals.
5. Document the outcome
Keep records of what was moved, when, and through which channel. Good documentation supports accounting, audit, and asset-management processes.
